PostEx, Trax & Leopards Merchants: Check Your COD Payments in Shopify
5 October 2026 · 9 min read

If you run a Shopify store in Pakistan, you log into your PostEx merchant, Trax or Leopards portal every week and ask the same questions: courier ne kitne paise diye? Which orders are still pending? Why is this payment less than I expected?
This guide shows how to answer those questions properly: how to match courier payments to your Shopify orders, find COD money that's still pending, and catch extra charges. It covers the manual way first, then how to automate it.
Watch: courier payments reconciled inside Shopify
A 3-minute walkthrough of Parcelo, our Shopify app for Pakistani COD stores. The rest of this article explains each step, including how to do it without an app.
Why your courier payment never matches your Shopify sales
With COD, Shopify shows a sale the moment an order is placed. Your cash arrives much later, after four things happen:
- The rider delivers the parcel and collects cash from the customer.
- The courier deducts its delivery charge, taxes and any return fees.
- The courier holds the money until its next settlement cycle.
- Returned (RTO) orders bring in nothing, but you still pay shipping both ways.
So "Rs 5 lac in Shopify sales" might mean Rs 3.6 lac actually collected and Rs 3.2 lac landing in your bank. The gap is not always a problem. But if you don't check it order by order, you can't tell normal deductions from money you're owed.
The three gaps to look for
1. Delivered, but payment pending
The courier shows the parcel as delivered, but it hasn't appeared in any settlement. Usually it's just in the next cycle. Sometimes it's missing. If an order stays unsettled well past your usual cycle, it belongs on a claim list.
2. Charges you didn't expect
Delivery charges that don't match your rate card, return fees on orders you thought were delivered, or deductions you can't explain. "Courier ne extra charges kyun kaate?" is one of the most common questions we hear from store owners. Most of the time there's a reason, but you only find mistakes if you check every line.
3. Returns that were never counted
An order that came back (RTO) but is still sitting in Shopify as an open sale makes your numbers look better than they are. Your real sales are delivered and paid orders only.
How to reconcile courier payments by hand
This works for any courier, and it's worth doing once so you know your numbers:
- Download the payment report. In your courier's merchant portal (PostEx, Trax, Leopards or another), export the settlement or payment report for the period, plus the delivery status report.
- Export your Shopify COD orders for the same period, with tracking numbers.
- Match on tracking number. In a spreadsheet, put every order into one of three buckets: delivered and paid, delivered but not yet paid, or returned.
- Check the deductions. For each paid order, compare COD collected minus the courier's charges against what you actually received.
- Mark paid orders as paid in Shopify so your sales reports show real revenue.
- Make a claim list of anything delivered but unpaid for too long, or charged wrongly, and send it to your courier.
At 50 orders a day this takes hours every week, and it gets harder with every extra courier you use. That's the job we built Parcelo to do.
How Parcelo automates it
- Delivered orders marked paid automatically. Parcelo reads delivery status from your courier and marks the COD order paid in Shopify, or holds it in a queue for your approval.
- What the courier took, per order. COD collected, courier charges, net remitted and what's still owed, with a flag when a deduction looks unusual. It never shows a figure as settled until the courier has actually settled it.
- Per-courier reports. Parcels delivered and returned, return rate, charges paid and amount remitted for any period, with one-click CSV export for your accountant.
- Customer return history. Delivered, returned, refused and RTO% for every customer, so repeat refusers stand out before you ship to them again.
- Delivery rescue. Failed and stuck parcels show up straight away with a one-tap WhatsApp message to the customer, so you can save the delivery before it becomes a return.
Parcelo is read-only on your courier account: it never books shipments or prints labels.
Which couriers it works with
By API: PostEx, Trax, Rocket Courier, XPS and Swift Post. By CSV import: Leopards, TCS, M&P, BlueEx and any other courier that gives you a report. Using a courier that's not on the list? You can request it, and the Parcelo team builds the integration. See the PostEx integration for an example of what syncs.
Which courier is actually costing you more?
Once every order is matched, you can finally compare couriers on what matters: return rate, charges per delivered order, and how fast they pay. The cheapest rate card isn't always the cheapest courier. A courier with a lower delivery charge but more returns can cost you more per delivered order. Parcelo's per-courier reports put those numbers side by side.
Know your RTO cost
Returns are usually the biggest leak. Read what RTO really costs a Pakistani store, how to reduce it, or put your own numbers into the free COD leakage calculator.
FAQ
How do I check how much my courier paid me?
Download the payment or settlement report from your courier's merchant portal (PostEx, Trax, Leopards and others all provide one) and match each tracking number to its Shopify order. Parcelo does this automatically and shows COD collected, what the courier took, and what is still owed, per order.
Courier ne payment nahi ki — what should I do?
First list every order marked delivered by the courier that hasn't appeared in a settlement yet, with dates. That list is your claim. Send it to your courier account manager with tracking numbers. Without the list, you're arguing from memory.
Why are my delivered COD orders still 'payment pending' in Shopify?
Shopify doesn't know your courier delivered the parcel or collected the cash. Someone has to mark each COD order paid, by hand or with an app. Parcelo reads delivery status from your courier and can mark the order paid automatically, or hold it in a queue for your approval.
Which couriers does Parcelo work with?
PostEx, Trax, Rocket Courier, XPS and Swift Post connect by API. Leopards, TCS, M&P, BlueEx and others can be imported by CSV. If you use a different courier, you can request it and the Parcelo team builds the integration.
Does Parcelo book shipments or print labels?
No. Parcelo is read-only on your courier account. It never books shipments; it reconciles the parcels you've already sent.
